event Effective date: October 7, 2026

The Namibia Fish Consumption Promotion Trust ("the Trust", "we", "us") is committed to protecting the privacy of every individual who interacts with our website, services, programmes, and recruitment processes. This Privacy Policy explains what information we collect, why we collect it, how we use and protect it, and your rights in relation to it.

This policy is issued in accordance with the Namibian Constitution (Article 13), the Public Procurement Act (Act 15 of 2015), the Labour Act (Act 11 of 2007), and applicable data protection principles recognised by the Republic of Namibia.

1. Information We Collect

We may collect the following categories of information:

  • Identity information — name, national ID or passport number, date of birth, nationality.
  • Contact information — email address, telephone number, physical and postal address.
  • Professional information — qualifications, employment history, references, and supporting documentation submitted through our Candidate Portal or the Short-Term Talent Register.
  • Submission information — messages submitted through our contact form, tender submissions, or the anonymous Whistleblower Portal.
  • Technical information — IP address (hashed where required), browser type, and pages visited. We use this only for security and abuse prevention.

2. How We Use Your Information

Your information is used to:

  • Process job applications and manage recruitment.
  • Respond to enquiries submitted through our website.
  • Administer tenders, procurement, and supplier relationships.

Access to reports is restricted to a small number of authorised personnel and every access is logged.

4. Legal Basis for Processing

We process personal information on the basis of:

  • Your consent, where you have provided it (e.g. newsletter subscriptions).
  • Contractual necessity, where processing is required to administer your application or a procurement process.
  • Legal obligation, where the law requires us to retain certain records.
  • Legitimate interest, where processing is necessary for our lawful operations and does not override your rights.

5. Data Sharing

We do not sell your personal information. We may share it with:

  • Government ministries and oversight bodies where legally required.
  • Service providers who support our operations (hosting, email delivery, auditing) under contractual confidentiality obligations.
  • Panel members and evaluation committees during recruitment and procurement.

6. Data Retention

We retain personal information only for as long as necessary for the purposes described in this policy, or as required by law. Recruitment records for unsuccessful applicants are retained for a maximum of 12 months unless you have consented to longer retention. Whistleblower reports are retained as required for investigative and legal purposes.

7. Your Rights

You have the right to:

  • Request access to the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your information where we no longer have a lawful basis to retain it.
  • Withdraw consent where processing is based on consent.
  • Lodge a complaint with the relevant Namibian authority.

8. Security

We use administrative, technical, and physical measures to protect your personal information. These include encryption at rest and in transit, restricted access controls, and audit logging.

9. Cookies and Third-Party Services

Our website uses a small number of cookies strictly necessary for session management and security. We do not use tracking cookies for advertising.
